SlideDesk is built for the slide desk — the operational hub of any multi-room conference where dozens of speakers arrive with last-minute files. The SlideDesk Manager application gives operators a single place to receive presentations, organize them by room and session, capture presenter details, and validate every file before it reaches a stage computer.
Validation is the core of the workflow. When a PowerPoint file is brought in, SlideDesk automatically checks for missing or non-embedded fonts, flags media and audio dependencies that could fail on the room machine, and surfaces technical warnings the operator needs to resolve. Each presentation carries structured technician notes so the room crew knows exactly what to watch during the session.
The Manager organizes everything into structured room folders backed by cloud-folder sync, so the correct files, fonts, and schedule reach the correct room computers without manual copying onto USB sticks. Schedule changes, swapped speakers, and re-uploaded decks propagate as live updates rather than ad-hoc messages.
On each presentation computer, the SlideDesk Room Agent runs quietly in the system tray. It receives the room schedule, watches for newly synced fonts, and installs them silently for the current user so a deck never renders with substituted typefaces. The Agent keeps the room technician informed of the latest presentation status and any outstanding warnings.
Presenter photo capture and per-presentation metadata help producers track who is speaking, when, and in which room, while the structured folder layout keeps assets predictable across an entire venue. Operators always know which files are validated, which are pending, and which still carry unresolved warnings.

Yes for a full deployment. The Manager runs at the slide desk for intake, validation, and scheduling, while the Room Agent runs on each presentation computer to receive the schedule, install fonts silently, and report status. The Manager can be used on its own for validation, but room sync requires the Agent.
The Room Agent installs synced fonts for the current user, which does not require administrator privileges on Windows 10 and 11. This lets decks render with their intended typefaces on the room machine without IT intervention during the event.
Full font and media validation relies on Microsoft PowerPoint being installed, since SlideDesk inspects the actual deck the room computer will run. We recommend matching the PowerPoint version on the desk and room machines and testing your full workflow before production.
SlideDesk uses cloud-folder sync into structured per-room folders. When you validate a presentation or update a schedule, the correct files and fonts propagate to the matching room computer automatically, removing manual USB transfers.
Yes. Schedules update live, so a re-uploaded deck or swapped speaker is reflected in the room folder and the Room Agent status. Operators can re-run validation on the new file and add technician notes before the session begins.
